Despite what you may have heard, hiring an agency to redesign your institutional website probably won’t fix all of your problems.
Your concerns about how much time it takes, and how much money it will cost, are valid. It’s expensive, hard work. And if your institution is like most, you’ll have no idea if it paid off.
Your redesign will probably fail to live up to expectations. And here are a few common causes.
Too many cooks in the kitchen
When an institution hires an agency to do a redesign, there are invariably too many people involved in the process. Your “stakeholders” are nothing more than liabilities. The very reason you think you need to redesign is due to those folks and the fact that they don’t work in web marketing.
You know how every university website looks the same? This is why.
Bonus: Anyone you involve from the university side will think they know better than your agency partner. That means instead of getting the best of a very expensive team of strategists, designers, and web developers, you’re going to get the best of your internal committee… which—and let’s be honest here—is not very good.
Along these same lines, it isn’t uncommon to find a reluctance to try new things in higher ed. The scourge of homepage carousel sliders and campus drone videos are testament to the copycat nature of our industry. Homogeneous design, navigation, and features are perpetuated by many web agencies, though just as much blame is shared with the clients (see above).
Those institutions that brave into unknown waters stand out. They win awards. They’re usually achieving their goals and are able to prove it. And that brings me to the next point.
A “set it and forget it” mentality
Normally, web design agencies are hired for a one-off project and then sent packing. To a large extent, that’s the agency’s fault. Many of us have gotten into the services business because we were tired of maintaining the same set of web properties at our old institutions. We don’t want to stick around on your project any more than we wanted to stick around at our last university.
But that’s where hiring the right agency comes in, and where drafting the right kind of RFP can change the rules. The best higher ed web agencies are the ones that partner with you after the website is launched. They help you define your goals and go the extra step of measuring data against them, improving the deliverables they originally gave you.
Unless your institution has data analysts on staff working with your web folks, you should plan for and include a data measurement and reaction phase in your RFP. Nothing is 100% optimal right off the bat, and if you’re doing things right, your website will be attracting new types of people you haven’t surveyed yet. You’ll need to adapt and grow with them.
So when should you redesign?
This article on Inside Higher Education that floated around last year gave four indicators of when you should redesign. Only two of them were right:
- If your website isn’t mobile-responsive to provide a good user experience on phones and other touch devices.
- If your content management system needs a major update that requires a code rewrite for compatibility (and this one’s just bang-for-your-buck).
Otherwise? There’s no hard-and-fast rule. If you have design and development staff in-house, I say redesign or iterate on what you have whenever you want. Improve and update your website as often as possible. Keep it current and progressive.
But if your institution is spending dozens of thousands of dollars with an agency on a web redesign, you should milk it for all it’s worth. If “your academic program pages aren’t clearly communicating the value and outcomes of a major or a degree” (source), then rewrite them, don’t redesign your whole website. That’s crazy talk.
Redesign that one page template, or make better use of the content that’s there.
Maybe just do a content audit or work with an agency partner to develop a better content strategy, especially if “you aren’t telling the story of your institution effectively” (source). It will cost you far less and bring you far more along than redesigning the entire institutional website.
<h3>What to do instead</h3>
There are a number of smaller, cheaper, probably more effective things you can do to support the website you already have.
First, go focus on your content. Rewrite it. Take better photos. Produce some videos. Your content is what tells your story, not the design. Do some information architecture work internally without a complete overhaul of your site. Even a basic content strategy is better than none.
Next, see what you can do outside of your website. Things like landing pages and microsites can be great ways to tell a focused story and drive traffic back to your most important pages and content. We’ve done this and seen incredible results.
